Saving form submissions in Aptuitiv Studio and the future of the Forms App

We recently pushed out a new update to our Forms app that is a part of the core Aptuitiv Studio system.  You can now save form submissions to view or export later.  When you create or edit a form simply set the "Save Form Submissions" value to be "Yes". From that point on all form submissions will automatically be saved in the database so that you can work with this later.

Form List

Viewing form submissions

You could do this because you want to have a backup of all form submissions (great for contact forms). Or you might want to be able to export all form submissions to import to a CRM that you use.

When you're viewing the list of submissions for a particular form, if your form accepts file uploads you can see the type of file that was uploaded and you can click a link to view that file. In the case of images you can see the image immediately in a lightbox. Also, any uploaded files will automatically be attached to the notification email to your staff.

Viewing a form submission image

You can also export one or more form submissions. Simply click the checkbox next to the ones that you want to export and then click the "Export CSV" button at the top of the table.

If you click the "view" link next to a form submission you'll see the entire form submission including the date it was sent, the IP address it was sent from and the user agent information for the browser (or spambot) used to submit the form.

In order to allow the system to accept submissions for a particular form you have to setup the form fields.  You can do that under the Form Fields tab when viewing Form Details.  When adding fields you can decide if it'll show in the Submission table and what order it will show in. This is great for large forms where you obviously wouldn't want every form field show in the list of submissions as it'll quickly become unmanageable.

The Future

We've got a lot more plans for forms on how to improve them and add more functionality.  Here is our current wishlist:

  • Add spam filtering to forms similar to Blog comments.
  • Add ability to archive form submissions so that the initial list doesn't become unwieldy.
  • Add the ability to create layouts for forms and to choose from some predefined layouts. This will make it easier to create forms.
  • Add support for multi-page forms.
  • Add support for form field rules and validation.
  • Add HTML email auto responders. Currently plain text is the only format supported.
  • Add support for scheduled auto responders.  This would be used if you automatically want a follow-up email to go to a contact after a certain number of days or hours.  You could use this to send follow up emails to check customer's satisfaction on your service.

We welcome your feedback and suggestions that you might have for improving forms in Aptuitiv Studio.
